What you’ll do ?  

Working as part of the Marketing Communications team, you will support the Event Manager in the organization and delivery of over 60 digital and physical events annually.

 

Physical events

  • Maintenance of event watch list
  • Coordination of logistics with event organizers and external suppliers
  • Preparing pre- and post-event briefing documents for internal stakeholders
  • Event presentation support where required
  • Coordination of event attendees including occasional hotel/travel booking
  • Preparation and tracking of shipments for events globally
  • Tracking of budgets, processing invoices and event related expenses
  • Updating the event calendar
  • Compiling and publishing event feedback from attendees / dashboard / surveys
  • Collaboration for event related website updates and coordinating social media presence with on the ground teams as needed
  • Preparation of event-related email campaigns (invitations, landing pages, discount codes, book a meeting…)

 

Digital events

  • Preparation and execution of digital event campaigns including invitation creation, landing pages, cross tool campaign lists, reporting
  • Support of webinar console and event set up
  • Assist with presentation assets for digital events (PPT)

 

Stock management

  • Management of inventory and event marketing materials in stock room
  • Annual analysis, proposal and sourcing of marketing goodies
  • Coordination and ordering of print materials
  • Management and maintenance of events stands and materials

 

Order management

  • Provide support in the tracking and allocation of marketing invoices
  • Ensure orders are tracked in marketing folder and updated to excel file with correct classifications
  • Orders and invoices are sent for authorization and processing by purchase department
